The ability to set up and troubleshoot user access and security in Sage BusinessWorks.
When deciding who should have access to your program it is important to ensure that they also are only having access to the information they are authorized to see. The best way to do this is by setting user security. User security is set per user per company, so you need to make sure you grant users the appropriate rights to the desired company.
Currently, users are granted or denied access to tasks in Sage BusinessWorks on a company-by-company basis. This software tip covers how to set up and troubleshoot security and user access.
To create user records:
1. Log in as the MANAGER.
2. From the Launcher select Utilities, Maintain Users.
3. To add a new user, click New. To edit settings for an existing user, click the lookup button, and select the user’s record.
Note: When a new user ID is created, you will be prompted to select the ‘Default Security Access’
- Select ‘YES’ to grant the user access to all tasks in all companies
- Select ‘NO’ to turn off the user access to all tasks in all companies
4. Click Security Settings to assign rights to specific tasks. The Maintain User Security window opens.
5. Use the lookup for Company ID to select the company you wish to set security.
6. Carefully review the selections, and clear all check boxes that are not appropriate for the user ID.
Note: Users can be granted or denied access to any task option in any module. There is no way to create a default Read-Only profile, the only way to do this would be to grant or remove access to the necessary tasks. These rights are granted on a company-by-company basis. After defining a user’s rights in one company, click the ellipsis button (…) next to the company ID, and select another company. Select the user’s security settings for that company, and then click ‘OK‘. All companies will display under each users’ profile. Removing access to a company through security settings does not remove the company from the company list for the user.
Use the Copy User Security feature when multiple users have the same or similar access.
1. Define security settings for one user.
2. Select the Copy From button at the Maintain User Security.
3. Copy the settings for new users as they are created.
For complete information on creating user IDs and assigning security rights, click the Help button (with the question mark) at the Maintain Users window.
Note: The Sage BusinessWorks security settings are separate from the required Windows permissions.
