Learning how to add attachments to new and existing documents in MIP will save users time and increase efficiency.
Do you attach supporting documentation to AP invoices in MIP? Did you know that you can complete this even after the invoice has been posted? MIP provides you with the ability to add supporting documentation to all other document types, in addition to AP invoices. Below are examples of attachments that are commonly used for various document types.
Document Type | Common Attachments |
---|---|
Vendor | W-9, Contract Agreement |
Accounts Payable (AP) Invoices | Purchase Order, Vendor Invoice, Contract, Receipts, Emails |
Grants | Award Documentation |
Journal Entries | Source Documents, Supportive Calculations, Reason/Justification |
Bank Reconciliation | Bank Statement |
First, you must enable attachments, which must be completed in the Classic Interface if your organization is hosted in the MIP Cloud.
Classic Interface
1. Under the Organization menu, select ‘Attachments’ and ‘Set Up Locations.’
2. Next, check the box titled ‘Enable Attachments’. This will allow you to add attachments to documents associated with any of the modules that your organization owns.
3. Selecting ‘Enable Attachments’ will make the paperclip icon available to uses on each transaction entry form.
Note: If you notice the paperclip icon is greyed out, you should verify that the ‘Enable Attachments’ box is checked.
Adding and viewing attachments can be completed in both the Classic and Modern interfaces. They can be added when initially entering documents or even after the documents have been posted to your General Ledger.
Classic Interface
1. Selecting the paperclip icon at the top of the transaction entry form and the following screen will appear. From this screen, users can add new attachments or view existing documents by selecting either the ‘View’ or ‘New’ button.
2. When adding a new attachment, the user will have the ability to select between ‘Linked’ or ‘Encrypted’ attachments. The default type is ‘Encrypted’ which only allows the attachment to be opened and viewed in MIP. Linked attachments are saved in a specific location and must maintain that location for users to view the attachments in MIP.
3. Once an attachment name is entered, the user can select that attachment by clicking the button at the end of the ‘Source’ field. This will open a screen to select the attachment from the file location.
Modern Interface
1. On the transaction entry form, select ‘Attachments’ as seen below. Users can view existing attachments by clicking the link in the ‘File Name’ column or add new attachments by clicking the ‘Add Attachment’ button.
2. The Modern Interface provides you with two options when selecting attachments to upload. Users may drag and drop files into the specified area to upload attachments – including multiple files at once. Users may also click the ‘Select files…’ button and choose the attachment from the file location, similar to the Classic interface.
